About this policy
Episode Studio helps podcast teams prepare episode assets, manage client workspaces, and connect social accounts. This policy explains how the service handles information provided by customers, workspace users, and people appearing in uploaded content. It does not replace the privacy policies of services you connect or use to sign in.
When a customer supplies an episode featuring guests or other people, that customer is responsible for having the necessary permissions and providing appropriate notices. For content processed on a customer’s instructions, direct requests to that customer or contact us so we can help route them. We also handle information for our own account administration, security, and support purposes.
Information we handle
- Account and workspace information: sign-in identity, email address, assigned client workspaces, podcast profiles, show details, target audiences, competitors, brand preferences, and support communications.
- Content and production information: uploaded video and audio, Dropbox shared-file links, transcripts, sampled video frames, guest and host names, generated clips and images, captions, descriptions, editing settings, campaign drafts, proposed dates, and approval records. Recordings may include personal or sensitive information about speakers.
- Connected account information: platform identifiers, display names, eligible channel or Page information, authorization scopes, encrypted access credentials, expiration information, and connection status. Episode Studio uses platform authorization screens; it does not ask you to give us your social account password.
- Operational information: request, error, and security information used to run and troubleshoot the service. Hosting and sign-in providers may process IP addresses, device or browser details, cookies, and service logs under their own terms.
Do not include secrets, identity documents, payment-card information, or unrelated private records in prompts or uploads. Obtain permission before uploading other people’s recordings or confidential information.
How we use information
We use information to authenticate users, enforce workspace access, store and process episodes, generate requested assets, display connected accounts, prepare and record campaign approvals, provide support, and protect the service against misuse. If direct publishing becomes available and you authorize it, selected content and publishing settings will be sent to the selected platform.
The current release prepares content and campaign drafts. Approval does not currently trigger automatic publication. We will update this policy and the product notices when publishing behavior changes.
YouTube analytics and podcast-specific learning
When you choose Connect YouTube analytics and authorize access on Google’s consent screen, Episode Studio reads the selected channel’s video identifiers, titles, publication dates, durations, views, viewing duration, engagement, and subscriber gains that the API makes available. It does not request revenue analytics. Analytics access is optional; you can also enter results or import a CSV. Results and connection credentials are scoped to the selected podcast and its authorized workspace users.
Use the Performance & Learning page to sync results or opt into daily background refreshes. If podcast learning is enabled, the service compares sufficiently supported results for comparable content and saves podcast-specific suggestions about hooks, topics and clip lengths. These are tentative patterns, not proof of cause or a guarantee of improved results. You can pause learning or exclude individual lessons. Summary lessons and their supporting aggregate performance measures may be sent to OpenAI with a new production request to personalize content for that same podcast. They are not used by Episode Studio to train a general-purpose AI model or to personalize another customer’s podcast.
Disconnecting YouTube stops future refreshes, removes the stored connection credentials and deletes API-synced performance observations from the dashboard. Manually entered or imported results remain until removed on request. Previously generated episode documents and saved production checkpoints may still contain lessons used for those productions; disconnecting does not rewrite or delete those documents. Contact us for deletion of remaining records, including generated documents. Pausing learning prevents its use in new production requests; work already queued retains the instructions saved when it was queued.
Episode Studio’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. Google API data is used to provide the features you authorize. It is not sold, used for advertising, or used by Episode Studio to train a generalized AI model.
AI processing
Episode Studio sends extracted audio to OpenAI for transcription. It sends transcripts, podcast context, production instructions, and selected video frames to OpenAI for content analysis and generation. This may include the personal information contained in the material you submit. OpenAI’s applicable API terms and data-handling policies govern its processing. We do not promise zero retention by service providers or describe the service as processing entirely on your device.
Episode Studio does not currently operate its own model-training pipeline using customer uploads. Any future material change to these uses requires updated notices and any consent required by law. Review AI-generated results for accuracy and context before sharing them.
Who can access information
- Your workspace: the studio administrator can access client workspaces. Authorized client users can access the podcasts assigned to them. Do not assume a client workspace is hidden from the studio administrator.
- Infrastructure and AI providers: the current service uses Sites hosting and optional legacy sign-in services, Google Firebase Authentication for Google and verified email accounts, Cloudflare-backed storage and databases, and OpenAI APIs. Information is supplied as needed to provide these functions.
- Dropbox: when you provide a shared file link, we use it to retrieve the content you requested. The link’s access settings are controlled by you and Dropbox.
- Social platforms: available integrations may include YouTube/Google, Facebook, Instagram, Threads/Meta, TikTok, X, and LinkedIn. Connecting an account shares authorization information with that platform. Only enabled integrations operate; a listed platform is not a promise of availability. A future authorized publishing action will disclose the selected media and post details to its destination.
- Billing: Stripe receives the contact and payment information needed for checkout and subscription management. Episode Studio stores payment session, customer and subscription identifiers and payment status, not full card numbers. Trial usage records enforce the included preview and prevent duplicate trials.
- Other recipients: we may disclose information when required by law or reasonably necessary to protect rights and security. A business transfer may involve a transfer of service records, subject to applicable notice and legal requirements.
We do not sell personal information or share customer content for third-party targeted advertising.
Storage, retention, and security
Uploaded originals, transcripts, completed assets, profiles, and campaign information are stored to support continued workspace use. Closing a browser tab does not delete saved content. The present application does not implement an automatic retention deadline or comprehensive self-service workspace deletion.
You can request deletion using the contact address below. We will verify the request and the requester’s authority, identify the relevant records, and respond as required by applicable law. Some information may need to be retained for legal obligations, security, dispute handling, or a customer’s lawful instructions. Provider backups and logs follow their own retention and deletion processes. We do not currently offer a fixed automatic deletion schedule. Contact us to request removal of stored information.
The service uses access checks and encrypts stored social access credentials. No system can guarantee absolute security. Keep your sign-in account secure and contact us if you suspect unauthorized access.
Your choices and requests
You can update podcast information, choose what to upload, export completed assets, and disconnect a social connection through the service when available. Disconnecting removes the stored connection credentials from Episode Studio; it does not automatically revoke authorization at the provider or remove previously published content. You can also revoke access through the provider’s account settings. For Google connections, visit Google account permissions.
To request access, correction, deletion, or an export of your personal information, email michael@digitalmogul.com with your workspace name, sign-in email, and the records concerned. Do not send passwords or access tokens. We may verify identity and authority before taking action. Depending on your location, applicable law may provide additional rights, such as objection, restriction, portability, withdrawal of consent, appeal, or a complaint to a regulator. We will handle requests according to the law that applies to them.
Deleting data from Episode Studio does not delete a source file from Dropbox, a platform post, or copies downloaded or shared by other people. Contact those services or recipients separately where needed.
International use, age limits, and changes
Service providers may process information in countries other than yours. We do not offer a specific data-residency commitment under this policy. If your organization needs region-specific processing or transfer terms, contact us before uploading personal information so those requirements can be assessed and agreed.
The service is for adult business users, age 18 or older, and is not directed to children. This does not prohibit properly authorized customer recordings that feature minors; customers must obtain all required permissions and protections. Contact us if a child has opened an account or personal information has been provided without appropriate authorization.
We will post updated policies with an effective date and provide additional notice or obtain consent when required for material changes.
